| This position is the first point of contact for the Center for Medical Humanities & Ethics and must have excellent customer service skills. Provides general administrative support for faculty and staff and specific support for director. Must work quickly and accurately and anticipate needs of faculty, staff, students and public. Must have ability to maintain confidentiality, strong interpersonal skills, efficient system of organization, attention to detail, problem-solving skills, ability to work on multiple tasks, and time management skills. Positive attitude and effective communicator in team environment. Position requires humility, respect, and passion to serve the University and community. |

| Must be personable and have excellent phone skills. Responsible for front office and phone coverage. Provide general administrative support for faculty, staff, students and public, and specific support for director. Handle general inquiries, route calls and accurate messages to appropriate personnel. Maintain Outlook calendar for busy director, including presentations, clinics, classes, and public lectures. Communicate schedule with director daily and resolve scheduling conflicts. Coordinate director's speaking engagements and presentations. | |
| Coordinate travel arrangements for staff, faculty, students and visiting lecturers using online system. Occasionally drive visiting lecturers to campus. Prepare routine written and electronic correspondence efficiently, such as vouchers, invoices, work orders, and service requests. Compose other correspondence, including emails, letters, forms and memorandum, using correct grammar, spelling and punctuation. | |
| Schedule meetings, workshops and conferences. Operate variety of office equipment, such as copy machine, fax, scanner, laptop, and projector, and use Microsoft Office suite. Maintain supply of accurate stationery and contact information, mailing labels, stamps and envelopes. Order office supplies using PeopleSoft system. | |
| Coordinate meetings, print agendas, prepare meeting packets, name tags and other meeting supplies, take and type minutes. Help coordinate mail-outs. Maintain professional appearance of group office areas. | |
| Maintain conference room and technology (laptop, projector) reservations. Coordinate acknowledgement letters. Scan signed documents. Maintain accurate electronic files. Distribute mail, and ensure timely delivery of mail and packages. Serve as on-campus courier for needed signatures. Maintain biographical information for faculty in department files and on eCV. Perform other duties as assigned. | |
| Combination of relevant Education and Experience will be considered. | |
| High school diploma or GED, with five years of related experience. | |
| Experience with Dreamweaver preferred. Experience with Adobe suite, especially Photoshop and InDesign, helpful. Experience with Blackboard also helpful. Understanding of grants helpful. | |
